How the lookup works

Outlook searches phone fields in Contacts and the Global Address List, matching digits across formats like (555) 123-4567 or +1 555 123 4567. The People view and the Search box in the address book both index Business, Mobile, Home, and Assistant numbers, so a partial string can find a result. If your org syncs Azure AD, those numbers flow into the GAL; local PST contacts remain separate.

Practical steps

1. Open People, press Ctrl+E, and type 5–7 digits you know, such as area code plus exchange.
2. Remove punctuation; Outlook normalizes digits, and partial matches are often faster.
3. Switch the address list to Global Address List if you cannot find a colleague in Contacts.
4. Right-click a match, open the contact, and confirm which phone field is populated.
5. If nothing appears, toggle Download Address Book or wait for offline cache to refresh.

Accuracy and cleanup

Standardize numbers to E.164 (+country code), avoid duplicates, and merge stale entries. For mobile-first teams, store the primary number in Mobile to improve caller ID and Teams presence correlation.
